OffDuty HQ legal
Billing, Cancellation, and Refund Policy
Effective October 6, 2026
This page summarizes how OffDuty HQ billing and cancellation work. Your accepted Company Software Services Agreement and each accepted Order remain the controlling records. OffDuty HQ is operated by Ten42 Projects LLC.
1. Before a charge begins
Creating a company account does not itself create a paid resource or a signup fee. Before a paid site, venue, event, or other resource is activated, an authorized company Administrator reviews the price, service dates, billing method, cancellation terms, and applicable tax treatment shown in the Order.
Existing accepted or negotiated rates are preserved in their accepted records. Complimentary status, discounts, credits, and taxes are shown separately where they apply.
2. Recurring subscriptions
A recurring site or venue uses the billing policy shown in its accepted Order. Newer anniversary-billed Orders include a three-hour cancellation window. Canceling within that window ends access and avoids the first charge. After the window, the first charge becomes due in advance. A later resource added to the same company cycle can have a prorated first charge. Canceling after the window stops the next renewal at the end of the current paid cycle; the used part of that cycle is not partially refunded.
Some established companies retain previously accepted calendar-month billing. Under those accepted terms, recurring resources are billed in arrears for the full active calendar month without proration. Cancellation stops later service months, but the final active month's charge remains due.
3. One-time events and other services
For a separately billed one-time event, cancellation before the event starts waives the event fee. Once the event starts, the full accepted event fee applies. An event included in an accepted recurring venue has no separate event fee. Date changes require a new review.
OffDutyOPS, OffDutyHR, negotiated services, and future paid modules follow the terms shown in their accepted quote, Order, or activation screen. They do not silently change an existing resource's accepted billing terms.
4. Refunds, credits, and billing errors
Except where an accepted Order expressly says otherwise, where OffDuty HQ approves a credit, or where law requires a remedy, charges already incurred are nonrefundable. Canceling a renewal does not erase a valid prior charge or invoice.
If Ten42 Projects LLC discontinues paid service for its convenience before the end of a paid period and cannot provide a substantially equivalent service, the controlling agreement provides for an appropriate credit for the unavailable period. Duplicate charges, incorrect amounts, or payments applied to the wrong account will be investigated and corrected when verified.
5. How to cancel or ask about a charge
An authorized company Administrator can use the cancellation controls available in the company account. A company may also send written notice to admin@offdutyhq.com. Include the company name, affected resource, and invoice or Order reference. Do not email payment-card numbers, passwords, or verification codes.
Review the Terms of Service and company agreement information for the complete terms that apply.
